why is it important to store, retrieve and archive information effectivly and efficiently

if you know where you've put info it's easier to find it when you need it. If you are likely to need to refer to it store it locally; otherwise consider archiving. If you store it effectively and efficiently (not quite the same thing) it's easier to retrive than if stored otherwise.
For example you should store but not archive your course notes/text books and then you can retrieve them to access the answer to this coursework question.
