fatema, are they an english company? maybe you'd do better to write to them in their own language?

Fatema was, if I remember correctly, somewhere like the UAE where English is widely used between the large collection of different nationalities and is, along with Arabic, the main language in business/commerce.

I also think a provident fund may be what in the UK is called a pension fund, except that it may include an element of other things such as unemployment/disability insurance.

The suggested improvements help but I think your suggested email was perfectly understandable. I know you have asked for help here on numerous occasions I'm not sure changes are necessary for your emails as they are understandable and any subtle refinements may be lost on the recipents who may also not have English as a first language.
